Description
Job Summary:
The Property Manager is responsible for managing the day-to-day operations, physical condition, financial performance, and administration of the property portfolio in alignment with FIC’s objectives and applicable laws.
Essential Responsibilities:
- Administer annual service agreements and lease renewals for shared and dedicated lab and office spaces in BioScience 1 and BioScience 2.
- Coordinate with the Leasing team on leasing activities for BioScience 3 and BioScience 5.
- Oversee the work of the Assistant Property Manager.
- Coordinate occasional community events to foster a collaborative and friendly environment.
- Lead strategies to increase occupancy rates and revenue generation in BioScience 1.
- Ensure that properties are maintained in first-class condition. Conduct weekly inspections of building operations to identify maintenance needs, follow up on improvement projects, and ensure satisfactory functionality and appearance.
- Maintain thorough knowledge of company policies, procedures, and programs that impact day-to-day building operations.
- Ensure performance metrics align with company policies, lease provisions, and vendor contract requirements.
- Establish and maintain strong tenant relations by implementing the tenant engagement platform, maintaining regular communication, resolving issues promptly, and promoting tenant satisfaction.
- Collect and report tenant satisfaction data as KPIs to the Board of Directors.
- Present service agreement and leasing reports to the Board of Directors and Executive Committee.
- Review and monitor client and tenant service requests to ensure timely and accurate completion, communicating with onsite staff to uphold quality standards.
- Manage the annual review and bidding process for all contracts in accordance with client and lease requirements.
- Purchase supplies, materials, and equipment, and contract vendor services within the approved budget and company policies. Supervise service and supply contracts to ensure compliance, cost control, and accurate invoicing.
- Maintain and update property site rules and regulations, building standards, tenant handbook, security procedures, emergency preparedness programs, insurance documentation, and client/tenant information as needed.
- Supervise building staff and vendor partners (including janitorial, engineering, and security personnel).
- Lead the preparation of annual operating budgets, tenant billings, and reconciliations in accordance with company, client, and lease procedures and timelines.
- Direct the accounting team in preparing monthly, quarterly, and annual operating reports, including cash flow forecasts, variance reports, rent rolls, accounts receivable, CAM reconciliations, fee schedules, and capital expenditure summaries.
- Monitor accounts receivable to ensure timely collection of outstanding amounts. Verify that all payments are received and accurately applied.
- Review and confirm vendor invoice coding in the online invoice processing system and monitor payments. Address vendor statements and inquiries related to accounts payable.
- Collaborate with FIC staff on the implementation and completion of budgeted R&M and capital projects while adhering to budget constraints.
- Oversee tenant moves, small- to medium-scale tenant improvement projects, and capital projects.
- Ensure tenant compliance with lease requirements and property rules and regulations.
- Respond within 24 hours to client inquiries or requests assigned to the position.
- Advise the CEO and COO of relevant information concerning property operations.
- Manage service agreement and lease administration processes, including abstracting into Yardi.
- Participate in leasing calls with brokers.
Requirements
- Minimum of four (4) years of experience in commercial property management and/or real estate.
- Bachelor’s degree or an equivalent combination of education, certifications, and experience.
- Familiarity with underwriting, pro formas, property condition reports or assessments (PCR/PCA), basic loan documents, loan draws, and property management agreements.
- Strong service orientation with excellent communication skills, both verbal and written, and the ability to interact effectively at all organizational levels.
- Exceptional planning and organizational skills, with strong attention to detail.
- Solid understanding of financial accounting principles and the ability to analyze and interpret financial reports.
- Ability to read, analyze, and interpret leases, business publications, professional journals, technical documents, and government regulations.
- Ability to write reports, business correspondence, and procedural manuals.
- Ability to define problems, collect data, establish facts, and draw valid conclusions.
- Demonstrated ability to complete tasks and directives with minimal supervision and consistent follow-through.
- Proficiency in Microsoft Word, Excel, and Outlook required.
- Experience with the Yardi accounting system preferred.
